*Please note only four (4) food booths are available with the limited kitchen space, therefore food booths are given on a first come, first served basis. If you do not get kitchen space you must supply equipment to keep food warm that meets all health and safety standards*

All booths are 10’x10’ & include one table. Vendors are responsible for the rest of their setup materials (i.e. tent/generator/chairs/additional tables/signs).

Deadline for applications is July 4, 2008. A late fee of $25.00 will be added after this date.

By signing this application the Vendor agrees to abide by the conditions, rules & regulations, set out on page 2 of this application. All Payments must be made in full by cheque or money order. Cheques/Money Orders are made payable to: African Women’s Alliance of Waterloo Region. NSF cheques are subject to a $30.00 fee. Mail cheques and completed applications to:

Vendor Application

The Afro Festival is a community wide event on July 26, 2008 from noon to sundown. An exciting annual celebration to share in African cultures. Take part in traditional drumming, incredible dance, delicious food, African art and more. A special afternoon for Africans and lovers of African culture from all over Ontario. Afro Festival expects approximately 5000 patrons in addition to the 100 volunteers and performers. Waterloo Park is located near Waterloo’s two universities and has easy access to public transportation. Admission to the festival is free and there is ample parking.

All vendors must comply with the following:

1. All vending fees are final and therefore non-refundable.
2. If your application is accepted, this form will become the contract for your participation at Afro Festival. A copy of this agreement, counter-signed by the Festival and a receipt for your vendor booth fee will be mailed to you before the festival.
3. Vendors are not allowed to park on the grass, in undesignated parking areas on the roadway, and in front of any entrances and exits. Vendors are to unload goods at all allocated areas and proceed to park vehicle in parking lot.
4. Vendors must provide containers to collect garbage generated from sales to and ensure that their area is restored to its original state, free of garbage. Garbage bags may be left on-site for pick-up. Failure to do so will ban Vendor from participating in subsequent Afro Festivals.
5. Vendors must provide extra, clean containers and utensils for both preparation and serving of food.
6. All vendors must conduct their activity within their allocated concession area.
7. The sale or consumption of alcohol is strictly prohibited. Any vendors found selling or consuming alcohol will be subjected to Police action, including eviction from Afro Festival.
8. All Waterloo by-laws governing vending, parking etc. must be obeyed.
9. All beverages sold must be in cans or plastic glasses. No glass containers are allowed on park grounds.
10. Vendor Coordinators will be on site to handle any vendor’s dispute or concerns. We will do our best to accommodate your needs. Please bear in mind, however that our resources are limited and that we cannot always guarantee that we will be able to meet your needs.
11. All food vendors are required to bring along three (3) 4-litre jugs of clean water for rinsing utensils and also an adequate amount of bleach for sanitizing utensils.
12. All food vendors are required to correspond with the Public Health Department. Vendors will be periodically checked by the Public Health Department to ensure compliance with Safety Rules.
13. Vendors are prohibited from providing their own music or sound system.
14. Vendors’ set-up: 10 am – 11:30 am. The retail and information vendors are located along the walkway between the picnic shelter/stage and the kitchen/food vendors. Vendor spots are allocated on a first-come, first-served basis during site set-up.
15. Vendors are responsible for providing their own meals.
16. Theft-prevention is the responsibility of the individual vendor.
